Sales Assistant/Support Co-ordinator

My client, an industry leader within their field, is looking for a sales support coordinator to join their busy team.

About the job:

To actively assist the Sales Director and the National Accounts Manager to maximise sales activity in the company's Customer Accounts

Key Accountabilities:

  • To provide a robust administration function for the Sales Director and the National Account Managers including; sales data analysis/forecasting, stock control liaison, order chasing

  • To be the principal interface with the buying assistants of key accounts dealing with any situation that arises as a result

  • To ensure the accurate and timely completion of the quotes and spec forms for accounts in the time limit specified by the customer

  • To ensure the timely preparation for customer meetings and previews

Principal Tasks:

Sales Support

  • To ensure the Buying Assistants and hence the Senior Buyers have any information / assistance that they require in the pursuit of their daily duties

  • To resolve any queries in this regard as appropriate, including resolving the queries of Senior Buyers in the absence of the Sales Director

  • To ensure that the Buying Assistants are aware of relevant marketing opportunities

  • To respond to reasonable requests from Buying Assistants as appropriate

Stock control

  • To provide a supportive role and a communication link between Stock Control and the Sales Team for all accounts

  • To chase stock control for orders as required in line with forecasts


  • Preparation for meetings - Agendas, sales data, stock levels, presentations as required

  • Internal - Sales & Marketing and Stock Meetings

  • External - Stock meetings and account meetings as required to take minutes and to provide a suitably detailed contact report on the outcomes of the meeting, to include an action plan for either / both parties

  • To follow up action points to ensure achievement and closure following the meeting


  • Compiling of seasons forecast sheet

  • Assisting as required with forecasting

  • Analysing sales out data to assist with planned intakes

  • Chasing stock controllers for orders in line with demand forecasts


  • Produce domestic quotes, collating dimensions, images, and prices for customers as required.

    Also checking of the HK FOB quotes prior to sending to customers

  • Contact with Finance re: pricing and MOQ's

  • Compiling of seasons listing sheet

  • Requesting of Price/Discount set ups as required


  • Work in conjunction with marketing to get stock, mock ups, images and samples to customers

  • Meeting Notes

  • To analyse other promotional activity in stores and to recommend appropriate action to prevent the loss of opportunity
