Office Administrator

Our client, a building services company have an opportunity for an Office Administrator.

You will be an enthusiastic Office Administrator to work within their office, based in Edinburgh.

Supporting the Director and Contracts Manager, also ensuring the smooth running of the busy office, ideally you will have experience in a similar role or relevant transferable skills.

Strong proficiency in Microsoft Excel and Outlook is mandatory.

Key Responsibilities:


  • Dealing with all incoming phone calls, transferring them to the relevant departments and/or taking the messages when necessary
  • Email Correspondence
  • Preparing letters and documents
  • Creating and maintaining contract files
  • Updating the company in-house database and spreadsheets
  • Ad hoc administration such as filing, photocopying, scanning etc.
  • Ordering and maintaining stationery and equipment supplies
  • Sorting and distributing incoming post and sending outgoing post
  • Dealing with the company car fleet including such things as parking permits, MOT’s, servicing  and fuel cardsResponsible for maintaining Client Database, including marketing mail shots/emails
  • Documenting and processing mileage claims and expenses
  • Invoicing
  • Petty cash handling
  • Maintaining high levels of customer service at all-time whether over the phone, email, internet or face to face
  • Acting as first point of contact for all visitors, phone calls and dealing with general enquires
  • Administering in house marketing systems

Qualifications/Experience:


  • Strong competency in using Microsoft Office applications
  • Accurate and has an eye for detail
  • Ideally used to dealing with a busy and varied workload with an ability to remain calm under pressure

Additional items


  • Working knowledge of Sage Payroll
  • Maintain HR records including recording training, leave, holiday and sickness absence by entering data on to excel system
  • Ability to work with little supervision
  • Ability to manage own workload
