The purpose of the role is to support the Workshop Controller by ensuring the Service Department operates in the most efficient and economical way possible whilst maintaining the high standards set by the company.

The key focus of the role is to manage and coordinate the administration processes required to support the Service Department with a view to delivering high quality, timely, reliable, consistent administrative coordination throughout, ensuring the department runs efficiently at all times.

Developing and delivering opportunity for growth whilst maintaining high quality standards is central to the role and the overall business.

Responsible for:
Assisting the Controller with the efficient running of the department through smart, coordinated task and resource management which is capable of being flexible and adaptable to change ensuring the workshop is working to its highest productivity rate at all times;
Leading and coordinating a swift and cost effective procurement system which enables vehicles to be serviced, prepared and send back to the showroom in the quickest time possible;
Coordinating and leading on all tasks required to manage the office.

This includes post, correspondence, bill paying, utilities management, workshop supplies i.e.

tea and coffee for client areas;
Support the Controller in communicating on everything from detailed technical changes to the daily work schedule to preparing reports to the Managing Director on a monthly basis on progress against targets, risks and all key performance indicators (KPI's);
Ensuring the general upkeep of the workshop, office and client waiting area is undertaken at all times;
Fulfil the responsibilities of the Health & Safety Administrator role ensuring the business remains compliant with regard to all H&S requirements and legislation;
Maintaining high levels of customer service including building good customer and supplier relationships and dealing with customer and supplier complaints;
Coordinating good housekeeping and security in the workshop and across the servicing department at all times, this includes the customer areas;
Working in partnership with the Sales Manager and the Sales team.

This includes the decision making process for prioritising work ensuring the business reputation and turnover is maximised at all times;
Leading on and updating the dealer management systems required, to run the department efficiently ensuring a record of all actions and decisions it taken throughout the operational process;
Recording and reconciling all budgeting processes and systems enabling the department to record and track their cost against profit;
Regularly reviewing the requirements of the role and, where appropriate, recommending changes to improve the department and its productivity ensuring the business remains in the forefront of the highest standards;
Administering and updating all Service Department staff personnel records;
Coordinating the advertising of all new posts and suppliers where appropriate;

Essential criteria
Previous experience in a Workshop or Service environment;
Excellent organisational skills;
Exceptional coordination skills;
Ability to work flexibly and change daily plans at short notice unflustered;
Excellent communication skills;
Confidence in using IT software including excel, word and power point;
The ability to build and maintain good customer service.
