Office Manager

We are seeking an experienced Office Manager to join our International Healthcare Recruitment Agency: Reporting to the Branch Manager.

Salary €32,000 - €38,000 dependent on experience.

Working hours Monday to Friday 9am - 5pm

Duties and Responsibilities:

  • Include office administration, facilities management, ordering and maintaining office supplies.

  • Strong MS office, power point and word for drafting and reviewing company documents and contracts.

  • Produce a variety of documents, mail and presentation materials.

  • Manage records, ensuring effective and efficient filling and retrieval systems in accordance with GDPR.

  • Seek out best practice and more efficient ways of working to enhance

  • Assisting healthcare candidates in employment queries and liaising with recruiters in the team.

  • Assist team members with posting of job adverts and formatting CVs .

  • Completion of various administrative tasks to assist with recruitment and bookings, such as: location trackers, pending trackers and booking trackers

  • Coordinating new starters working in conjunction with health services to process reference checks, occupational health forms, validating training transcripts, garda clearance and assist with visa and work permit applications.

  • Directly supporting and assisting health care professionals in relocating to Ireland.

  • Handle work of a highly confidential and sensitive nature.

  • Preparation of interview packs ahead of scheduled interviews

  • Accurate completion and processing of documentation as efficiently and effectively as possible

  • Provision of a friendly and efficient customer service as the face and voice of Lucas Love Healthcare

  • Flexibility of hours and some on call may be required on the odd occasion as per service need

Key Requirements

  • Ideally have 3 years experience in administration role (management experience desirable)

  • Excellent Skills in word, Excel and power point are essential

  • Excellent written and oral communication skills demonstrating attention to detail.

  • Ability to work unsupervised and take ownership of queries/issues, bringing them to a successful conclusion.

  • Highly motivated and flexible, effective team player.

  • Excellent organisational skills and time management.

  • Experience of interagency working (highly desirable within recruitment or healthcare sectors)

  • Training in HR and or people management experience (desirable)
