NHS Senior Administrator

We are looking for a full-time experienced administrator to join the admin team at an NHS service in Headington, Oxford.



Job Title: Mental Health Administrator
Duration: Up to 3 Months
Hours: 37.5 Hours PW
Location: Oxford

Brief description of role:

, To provide support with the compilation of reports, typing letters and correspondence when required and to be responsible for uploading patient information onto Carenotes and any other appropriate system in a timely manner.
, Answering the telephone, taking messages and processing enquiries.
, To use Microsoft Office applications including Word, Excel and Outlook as required.


, To assist with the supervision, coaching and training of Junior Administrators in the team.
, To assist with reception duties for Out Patients departments when required.
, Checking that stationary supplies are adequately stocked and ordering when necessary.


, Contacting the Estates Department to carry out repairs, checking work has been undertaken to satisfaction.


, Keeping notice boards tidy and up to date and adding anything of interest or importance to staff.


, Managing the process of any charitable funds' donations.


, Recording accidents and near misses on the Ulysses system.
, Keeping the Trust policies, procedures and fire book up to date

, GCSE A-C or equivalent in English and Mathematics
, Good level of general education
, Word processing experience
, Good understanding of the General Data Protection Act
, Minimum of 1 year working in an office / educational environment
, Good communication skills with an empathetic approach
, High levels of emotional resilience
, Ability to work under pressure in a calm manner
, Enthusiasm and motivation
, Flexibility in approach to work and the changing needs of the service/team.
, Willingness to undergo further training


Desirable skills:

, PowerPoint Skills
, Formal Secretarial Training (i.e.

RSA or shorthand qualification)
, NVQ Level 2 in Admin or
, NVQ Level 2 Social Care
, Desire to attend courses relating to role, as appropriate.
, Experience of digital dictation systems and software
, NHS experience
, Experience of working in a Social Care Setting
, Desire to work in a Mental Health Setting
