Typically, this person will provide administrative support to the service department and workshop operations, managing internal systems, coordinating jobs, and supporting the delivery of key customer contracts.

Duties and responsibilities of the (insert job title):
Manage the administrative aspects of workshop contracts and coordinate with relevant departments
Handle incoming enquiries and ensure timely responses by the appropriate personnel
Create and manage work orders in Microsoft Dynamics, order parts, and update records throughout the job lifecycle
Approve engineers’ time sheets and allowances in Dynamics
Prepare and issue quotations, invoices, and job documentation, ensuring costs are accurate and profit marginsare maintained
Collate, format, and distribute engineers’ service reports to customers within agreed timeframes
Provide general administrative support to the Workshop Manager and wider service team as required
Attend internal and external meetings,
Support engineers with customer and internal applications and portals
Accept MOD service orders within 24 hours, produce KPI reports by the 5th of each month, and prepare MOD QRM slide packs
Qualifications and requirements for the Workshop Administrator :
Proficient in Microsoft Office (including Access)
Experience working in a service delivery or workshop environment
Strong communication and organisational skills
Desirable:
Experience managing key customer accounts
Experience scheduling engineers or technicians
Familiarity with HR policy and compliance

GENERAL PURPOSE OF THE JOB:
The Warranty Administrator is primarily responsible for: Processing all warranty requests and maintaining accurate and up-to-date warranty files, samples, and product/system listings on the online warranty system. As the system and software subject matter expert, this role is charged with identifying and managing all required modifications to the online warranty system, coordinating with IT and product line managers to ensure a seamless, user-friendly experience for our customers.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Act as primary liaison with our software provider, as the internal "super-user", in understanding the system capabilities; creating user training and ongoing maintenance updates to ensure access and compliance for all internal customers. Perform general administrative duties, such as data entry, answering and making telephone calls, and providing general service related to the warranty function. Process all warranty requests received daily according to project specifications and dollar amount. Obtain and process all approvals for warranties from reps and sales management according to warranty guidelines daily. Maintain accurate and comprehensive files on all special warranties, including specifications, warranty request form (product and application information), and all appropriate approvals. Handle all warranty request transactions, such as obtaining contractor signatures for joint warranties, preparing and distributing Approved Applicator Certificates, generating sample warranties, and generating reports for sales force if required. Verify and ensure accuracy and timeliness of all warranty information, such as address verification, report generation, etc. Respond to calls and inquiries related to warranties from both internal and external customers. Team Leader ERP Development (NA)
Supervises the ERP development staff of the IT department in North America.
In addition, continues to perform development work, while serving as the leader of the team.
Provide leadership and supervision to the ERP development staff of North America, while supporting the definition, analysis and implementation of information systems and business solutions.
This support includes both business processes and IT solutions.
Essential Duties and Responsibilities:
Demonstrate strong leadership while working with the IT development staff, end-users, IT management and business analyst team members, while supporting the implementation of strategic information systems and business solutions that support the operational needs of the business.
Provide supervision of IT resources (primarily the development staff) and other project team members for the implementation of information systems and business solutions.
This includes responsibilities associated with day-to-day project management, such as, but not limited to: project definition (scope, timeframe, resources, costs), weekly status, issue identification and resolution, etc.
Supervises consultants, contract programmers, interns, part-time clerical assistance, and business team members, as needed.
Provide guidance and support IT professional development of the development staff by: day-to-day management of project personnel, setting and monitoring annual performance objectives and conducting performance reviews, training, (formal and informal OJT).
Perform analysis and development duties and activities.
Provide overall development support in the implementation of new ERP application software packages, package modules and new releases upgrades.
Projects may be global and cross-divisional and can be solely business re-engineering and/or IT.

Plans and schedules development projects and staff assignments.
Coordinates the scheduling of work with the other IT departments, including business analyst and technical teams, as well as the business community.
