JOB DESCRIPTION
The Executive Assistant will provide high-level administrative support to members of the executive leadership team.
This role demands exceptional organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment.
Key responsibilities include managing calendars, coordinating meetings, arranging travel, preparing communications, and handling confidential information with professionalism and discretion.
Principal Accountabilities
The following responsibilities are general duties that a particular employee in this position may or may not be required to perform.
The actual duties required of this position may vary. Manage complex calendars, including scheduling meetings, appointments and travel for executive leaders. Coordinate logistics for meetings, conferences and events, including preparation of materials, agendas and follow-up items. Screen and prioritize incoming communications, including emails, calls and mail; respond or route as appropriate. Manage a variety of complex and confidential situations and duties to support executive management in accordance with company policies, practices, and procedures.
Prepare executive expense reports. Prepare, edit and proofread correspondence, presentations, reports and other documents.
Support annual budget (GTO) process by coordinating deadlines and assisting in the preparation of key deliverables.
Maintain organized filing systems and ensure timely access to critical documents and records. Assist with the upkeep of HR databases and personnel records, ensuring data is accurate, confidential and compliant with company protocol. Assist with tracking, processing, and organizing legal invoices, including coordination with internal legal team and external vendors to ensure timely and accurate billing. Performs other activities assigned.
Minimum Requirements:
Associates degree. 3-5 years of experience in an administrative or executive support role.
Experience supporting senior executives or C-level leaders strongly preferred. Advanced proficiency in MS Office (Outlook, Word, PowerPoint, and Excel).
Experience in calendar management and expense reporting. Professional demeanor and ability to interact with internal and external stakeholders at all levels. Proven ability to handle confidential and sensitive information with discretion. Ability to manage multiple tasks and priorities with a high degree of accuracy and attention to detail. Excellent organizational and time management skills. Excellent written and verbal communication skills.
Strong problem-solving skills and ability to work independently with minimal supervision.
Preferred Requirements:
Familiarity with productivity tools (e.g, Teams, Concur, Oracle). Commitment to excellence - perform duties at the highest level possible on a consistent basis. Excellent communicator - able to interact with people of all levels in a confident, professional manner. Business sense - has a strong business sense and ability to perform work with tact and judgment; handle confidential information with discretion. Service focus - dedicated to meeting the team expectations by maintaining effective relationships. Strong event planning and logistics coordination experience. Experience preparing executive-level reports, presentations and communications. Ability to anticipate executive needs and proactively solve problems.
Benefits and Compensation
The pay range for applicants in this position generally ranges between $28.00/hour and $40.87/hour.
The range is an estimate based on potential employee qualification operations, needs, and other considerations permitted by law. Develop and implement warehouse and distribution strategies, processes, and procedures to support DAP's business goals and objectives.

Responsibilities
Safety
Ensure Associates are performing their duties in a safe manner and in a safe environment.
Lead safety related activities (Safety Team, Department meetings, Audits/Tours) and ensure prompt follow-up on safety related issues to minimize lost time accidents and ensure compliance with all DAP and OSHA requirements.
Ensure housekeeping standards are maintained and that all facility and power equipment is utilized safely and, in the manner, consistent with its intended use.
People
Lead and develop warehouse team to deliver unparalleled customer service.
Provide performance feedback to department staff, as well as other associates through periodic performance review, staff meetings, training coordination and other activities deemed appropriate.
Maintain an open-door policy to address all work-related associate concerns and discuss issues involving personalities, work scheduling, communication between supervisors and performance issues.
Work with HR on issues relating to associates.
Quality & Productivity
Ensure product quality and integrity through established adhesion to policies and procedure, implementing new ideas/techniques when appropriate.
Work with management team and associates to develop policies and procedures to address daily operational challenges that impact shipments to customers and operating efficiencies.
Determine most appropriate proactive operating rules, communicate changes, execute changes, follow-up and monitor compliance.
Oversees carrier scheduling, communication and dispatch.
Work with Corporate IT and software supplier to address issues relating to labels, warehouse management system and RF equipment.
Service
Continuously strive to improve our service level to our internal and external customers through the introduction of process enhancements and best practices.
Complete daily review of our performance in shipping, receiving and replenishment to ensure that customer orders are leaving on a timely basis and required unit and line-item fill rates are being attained.
Plan for adequate manpower against current and future shipping days and implement new process if needed, while continuing to review and revise old processes with management team and associates.
Utilize WMS to manage warehouse operations and analyze performance data.
Responds to inquiries regarding shipment status.
Serves as a liaison between Customer Service, Warehouse and Production departments to ensure product availability and priorities.
Cost
Prepare, manage and maintain distribution center budget through reduction of non-value-added activities and increasing efficiencies of current processes.
Manage department budget daily, determining spending priorities with VP of Operations and insuring goals and objectives are being met.
Evaluate current spending to determine areas to reduce costs, streamline expenses to maximize value to operation and still maintain customer service.
Utilize the MS 168 process to provide process improvements and continuous improvement activities.
Requirements:
Bachelor's Degree 7 to 10 years of experience in the relevant field Working knowledge of RF warehouse management system Working knowledge of Microsoft Office Word and Excel software applications Strong leadership and management skills and experience Excellent communication skills Inventory Control and warehouse management systems experience

This would be a permanent position for the right candidate.
This role would include but not be limited to the following
Carrying out take-offs and producing detailed Bill of Quantities.
Measure/remeasure works carried out on site.
Monitoring costs to ensure works are within budgets
Preparing valuations for interim application for payment, including variations.
Document control.
Pricing variation orders and charging the client accordingly.
General administrative duties.
Materials coordination for live projects.
Negotiating costs and prices.
Attending on-site meetings.
The Ideal Candidate will have
Experience as a Quantity Surveyor or similar
Experienced in NEC form of contract
Previous experience working within Commercial Build and/or Residential Facades
CSCS, 2x References
Degree within Quantity Surveying or similar

QUALIFICATIONS AND COMPETENCIES
Bachelor's Degree in Digital Marketing, Communications, Public Relations, or related field required.
3-5 years' professional experience in digital marketing or related roles.
